As companies race to embed artificial intelligence into everyday office software, tools like Microsoft Copilot are quickly becoming part of routine work. They summarize meetings, draft emails and sift through internal documents in seconds. But as their use spreads across corporate and government settings, so too are concerns about what they might expose.

In recent months, Copilot has been linked to a series of high profile missteps, including generating false information, surfacing sensitive data and pulling from confidential emails without sufficient safeguards. The incidents have underscored a broader tension facing employers: how to balance productivity gains with growing security risks.

At a recent panel hosted by Gartner in Sydney, an analyst offered a warning that captured both the promise and unease surrounding the technology. Dennis Xu suggested that companies might consider restricting the use of such tools at the end of the workweek, when employees are more likely to overlook mistakes.

“Copilot makes over-shared documents more accessible,” Xu warned. “This is not a net new risk, but a known risk amplified by AI.”

The comment, delivered partly in jest, pointed to a more serious concern. Many organizations already struggle with what security experts call “over-sharing,” where employees have access to documents beyond what they strictly need. By design, systems like Copilot can search across vast internal databases, meaning that a casually written prompt could surface sensitive financial records, human resources files or proprietary data.

Xu’s remarks came during a session titled “Mitigating the Top 5 Microsoft 365 Copilot Security Risks,” where he outlined how easily artificial intelligence tools can magnify existing vulnerabilities. Much of the discussion focused on how lapses in data governance, rather than flaws in the software itself, can lead to unintended exposure.

The risks are not theoretical. In corporate environments, an employee might ask an A.I. assistant to summarize a project and inadvertently receive details from restricted documents. In government settings, similar tools could pull from internal communications that were never meant to be widely accessible. Security researchers have also documented cases where A.I. systems produce confident but incorrect outputs, a phenomenon known as hallucination, which can lead to reputational or operational damage if left unchecked.

Even so, companies continue to adopt these tools at a rapid pace, drawn by their potential to automate routine work and boost efficiency. For many executives, the question is no longer whether to use A.I., but how to deploy it safely.

Xu’s suggestion of a Friday afternoon pause may not become formal policy, but it reflects a growing recognition that human oversight remains essential. As A.I. systems become more deeply embedded in the workplace, their effectiveness may depend as much on employee judgment as on the technology itself.
